PlusHR had decided to move all their clients from their current HR Management systems (HRIS or manual) to Cezanne HR. PlusHR had themselves only recently moved to Cezanne and did therefore not yet have the necessary knowledge and experience inhouse to deliver this project.
On recommendation, PlusHR contacted me, Premium Admin Assistance, as I had previously implemented Cezanne from scratch.
Provide technical support and training to PlusHR’s 5-strong Admin Team and be part of their Cezanne implementation team.
Help ensure that all implementations were done to the agreed deadlines and quality standards.
PlusHR had already created a project plan which we used for the first few implementations. I subsequently suggested some changes and created an updated plan which gave a better overview and split the tasks into sections depending on when in the overall process they had to be done.
Over the next 15 months we transferred 13 clients with a total of over 1,100 employees, past and present, from their legacy systems to Cezanne.
As each client had different requirements in terms of which Cezanne modules they wanted to use, and the way their company was set up with working patterns, holiday plans, locations – some had employees in different countries – we needed to carefully collect very specific details from each client to ensure that Cezanne was set up correctly.
Each implementation typically took between 6 and 9 weeks with a 3-week usage black-out window at the end before Go-Live.
During the black-out period I exported all data from the legacy system and entered the data into the Core Template covering all the basic company specific settings, core employee data with current job titles, salary, reporting lines, holiday entitlements and the current year’s absence details, including details for employees who had left within the previous 12 months. Technical support at Cezanne subsequently imported the completed Core Template into the client specific Cezanne tenant system. Having imported the core data, we moved on to importing historic data for compensation, absences, job titles, next of kin, bank details etc. before finally checking that everything was correct. Finally, we created a user profile for each active employee. On Go-Live day all employees received an email from the Cezanne HR system welcoming them to their new platform and inviting them to access the system.
Clients captured any changes that had happened during Black-Out and passed them on to PlusHR for implementation in Cezanne. In some cases, the client entered the data themselves.
I also trained PlusHR’s Admin Team on being administrators of the new Cezanne system and created a comprehensive Administrator Handbook. In addition, I created a handbook for Line Manager users to be shared with the clients.
PlusHR also, on occasion, asked me to deliver training to some of the clients’ own internal administrators.
13 clients implemented within the set time frames and with very positive feedbacks from the clients.
After this initial project PlusHR’s own team are now fully comfortable with the implementation process and I have been retained as technical support and a helping hand if and when needed.
